What is JobTetris?

JobTetris is a recruitment workflow platform designed to simplify how recruiters, hiring managers, and candidates stay organised and informed. It brings jobs, candidates, and communication into one clear, structured system.

How is Jobtetris different from

traditional ATS or CRM?

Most ATS and CRM systems are built primarily for data storage and compliance, often adding layers of complexity that slow teams down.

JobTetris takes a different approach by focusing on clarity, usability and reducing admin.

Instead of introducing more steps, it simplifies workflows by centralising information in one place, eliminating duplication so there’s no need to update multiple tools, and making progress and ownership clearly visible for everyone involved.

About JobTetris

JobTetris is an Australian built and owned recruitment platform combining an Applicant Tracking System, recruitment CRM, business development tools, AI, automation and recruitment operations in one connected system.
It is designed to manage the recruitment process from prospecting and business development through to jobs, candidates, interviews, placements and ongoing relationships.

JobTetris is both an Applicant Tracking System and recruitment CRM.
The ATS manages jobs, applicants, recruitment workflows, interviews and placements, while the CRM manages Candidates, Contacts, Companies, Deals, Tasks, activities and relationships.
These functions operate within the same platform rather than as separate systems.

JobTetris is designed for recruitment agencies and recruitment teams that want their ATS, CRM, business development and recruitment operations connected within one platform.
It can support solo recruiters, boutique agencies, growing recruitment businesses, larger agencies and internal recruitment teams.

Yes. JobTetris can be used by a single recruiter and does not require a large team to implement or operate.
Solo recruiters have access to the same core ATS, CRM, automation and recruitment functionality as larger agency customers.

Yes. Boutique and growing recruitment agencies are a core JobTetris customer group.
JobTetris is designed to give smaller agencies access to ATS, CRM, business development, AI and recruitment operations functionality without requiring multiple disconnected platforms.

Yes. JobTetris supports multiple users, teams, departments, configurable pipelines, permissions and workflows.
Deal pipelines can also be restricted to particular teams or departments, allowing larger agencies to create different commercial workflows while maintaining a connected CRM.

Yes. JobTetris can support executive search workflows including market mapping, Companies, Contacts, Candidates, research, relationship management, Deals, Jobs, activities, documents, client communication and recruitment delivery.

Yes. JobTetris can be configured around different recruitment workflows, including temporary, contract, volume and blue collar recruitment.

Yes. JobTetris is Australian owned and Australian built.
JobTetris data is hosted in Australia, although the platform is used by customers internationally, including in Australia, New Zealand, Ireland, the United Kingdom and the United States.

No. JobTetris is Australian owned, built and hosted, but the platform can be used by recruitment businesses internationally.

CRM and Data

JobTetris uses separate but connected entities to organise recruitment data.
These include Candidates, Contacts, Companies, Jobs, Deals, Tasks and activities. This allows recruiters to maintain structured information while also connecting the relationships and activity that exist between records.

Yes.
JobTetris deliberately treats Candidates, Contacts and Companies as separate entities because they perform different functions within a recruitment CRM.
A Candidate is someone who may be considered or represented for employment opportunities. A Contact represents an individual within the CRM, often connected to a Company. Companies represent organisations within the recruiter’s market.
These records can then be connected where appropriate

Yes. Contacts can be connected to Companies within JobTetris, allowing recruiters to see the people associated with an organisation and the relationship history around them.

Yes. JobTetris allows Contacts to be connected to other Contacts, helping recruiters represent relationships within their market rather than treating every person as an isolated database record.

Yes.
A Contact can have a Candidate profile connected to them. This is useful where someone operates in more than one context within a recruiter’s network.
The Contact and Candidate remain separate records because their purposes and information requirements are different.

Yes. Custom fields can be created across JobTetris entities including Candidates, Contacts, Companies, Deals, Jobs and Tasks.
This allows organisations to capture information specific to their recruitment market and operating model.

JobTetris supports different custom field types, including free text fields, controlled dropdown fields and yes/no or on/off fields.

Yes. Organisations can create controlled dropdown custom fields so users select from predefined values rather than relying entirely on free text.
This can help maintain more consistent CRM data.

JobTetris currently supports up to five custom fields per entity type, including entities such as Candidates, Contacts, Companies, Deals, Jobs and Tasks.

JobTetris uses three primary identifiers when checking Candidate and Contact records: email address, phone number and LinkedIn URL.
This helps identify an existing person before creating another record.

Yes. Where duplicate records exist, they can be merged rather than remaining as separate records.

Yes. Labels can be used to organise and segment Candidate and Contact records.
Labels can also be applied in bulk.

Yes. Candidates and Contacts can be added to lists, including through bulk actions, allowing recruiters to create groups for sourcing, engagement, marketing and other workflows.

JobTetris supports selected bulk actions, including applying labels and adding Candidates or Contacts to lists.
It does not currently provide unrestricted bulk editing of every structured field across records.

Yes. Administrators can export core Candidate, Contact and Company information themselves, including information such as names, email addresses, phone numbers and URLs.

Yes, by request.
More extensive exports involving information such as Jobs, Deals and activities can be provided through a database export. These are not currently available as a standard self service export from the user interface.

JobTetris takes a different approach to blindly enriching Candidate records from third party information.
Where a Candidate maintains or updates their own information, JobTetris can make that updated information available to connected recruiters. This helps prioritise information supplied directly by the Candidate rather than automatically replacing trusted CRM data with potentially inaccurate third party information.

No.
Notes and activities are important parts of relationship history, but JobTetris also maintains structured entities and fields across Candidates, Contacts, Companies, Jobs, Deals, Tasks and other records.

Search and Candidate Discovery

Yes. JobTetris includes Advanced Search for finding Candidates using structured profile information and information contained throughout their records.

Yes.
Recruiters can describe the type of Candidate they are looking for using natural language, and JobTetris translates that requirement into search criteria.

Yes.
JobTetris uses synonym-based searching to broaden Candidate searches beyond a single exact job title.
For example, a search for a full stack developer can consider related terminology rather than requiring every Candidate to have the exact same title.

JobTetris Advanced Search can use multiple pieces of Candidate information, including role titles, skills, keywords, documents and location, along with other available Candidate information.

Yes. Candidate search can use information contained within documents and resumes rather than relying only on manually entered profile fields.

Natural language Advanced Search is currently focused on Candidates.
JobTetris maintains search and filtering functionality across other CRM records, but the natural language Candidate search should not be confused with standard search functionality across other entities.

Business Development and Deals

Yes.
JobTetris includes Deals for managing commercial opportunities and business development independently from active recruitment Jobs.
This allows recruitment agencies to manage the activity that happens before a client provides a vacancy.

Deals are configurable pipeline records that can be used to manage opportunities, business development and other project based workflows.
A Deal can contain information such as the Company, Contacts, notes, activities, documents, team members, value and stage.

No.
Deals and Jobs are separate entities in JobTetris.
A Deal can contain information about a potential recruitment opportunity without requiring an active Job to exist.

Yes.
Job information can be captured during the Deal process and a Job can be created from a Deal when the opportunity progresses successfully.

Yes. Organisations can create multiple Deal pipelines within JobTetris.
This allows different pipelines to be created for different teams, services, markets or workflows.

Yes.
Deal pipelines can be configured so they are only visible to relevant departments or teams, helping keep the everyday interface relevant to each user.

Yes.
Each Deal pipeline can have its own customised stages. Organisations can determine the names and structure of those stages based on how they operate.

Yes. Deal stages can be configured around outcomes such as open, won and lost.

Yes.
Deal stages can have completion probabilities associated with them. These probabilities can contribute to forecast reporting based on Deal value and likelihood of closing.

Deals can be connected to Companies, Contacts, notes, activities, documents and team members.
Candidate records are not currently directly attached to Deals.

Yes.
Because Deal pipelines and stages are highly configurable, some JobTetris customers use them as Kanban style project management workflows rather than purely sales opportunities.

Yes, depending on the workflow.
Some customers use configurable Deal pipelines for Candidate marketing or project based processes. The pipeline can be configured with custom stages, card titles and without requiring a financial value.

Yes.
Internal recruitment customers can use the configurable Deal area as an opportunity or project management workflow rather than a traditional recruitment agency sales pipeline.

AI in JobTetris

JobTetris uses AI across different parts of recruitment, including Candidate screening, search, Candidate summaries, meeting transcription and summarisation, email management and other workflow assistance.
The objective is to use AI to help recruiters understand and act on information while maintaining structured recruitment records.

Yes. JobTetris can use AI to generate Candidate summaries, helping recruiters quickly understand relevant Candidate information.

Yes.
JobTetris offers a meeting bot that can join supported online meetings, capture the conversation and produce a full transcription.

Yes.

Yes.

Yes.
The bot can be sent to a Zoom meeting using the meeting link. JobTetris booking links do not currently automatically create Zoom meetings.

Yes.
Organisations can configure prompts that determine how JobTetris processes different types of meetings.
For example, a Candidate interview might produce structured questions and responses, while a client meeting might produce a concise summary, key outcomes and next steps.

Meeting information and AI generated outputs can be recorded as notes and activities associated with the relevant profiles.

Not currently.
Meeting intelligence can generate transcripts, notes, activities, summaries, outcomes and other requested information, but it does not currently automatically write that information into specific structured CRM fields.

No.
JobTetris combines structured recruitment data with AI. Candidates, Contacts, Companies, Jobs, Deals and other entities maintain their own structured information, while AI is used to help search, interpret, summarise and work with that information.

This allows recruiters to find someone in their JobTetris database and call them without needing to separately find or save their number in their phone contacts.

Yes.

Those notes can then be recorded against the relevant Candidate or Contact profile, helping recruiters keep CRM activity up to date while the conversation is still fresh.

Yes. JobTetris Go allows recruiters to initiate text messages from Candidate and Contact information within the app.

This can be used for activities such as Candidate follow ups, client business development, sourcing calls or simply managing the people who need to be contacted that day.

Yes.
JobTetris Go can identify an incoming phone number against the recruiter’s JobTetris database. If the number belongs to a Candidate or Contact in JobTetris, the recruiter can see who is calling even when that person has not been manually saved in their phone contacts.
This effectively allows the recruiter’s JobTetris database to provide caller identification without requiring thousands of recruitment contacts to be stored individually in their personal phonebook.

No.
JobTetris Go is designed to give recruiters access to their JobTetris database without requiring every Candidate and Contact to be separately saved into their personal iPhone contacts.
The app can identify phone numbers against JobTetris records, allowing recruiters to recognise incoming calls from people already in their recruitment database.

Yes.
This is one of the main purposes of JobTetris Go.
Recruiters can access CRM records, make calls and communicate with Candidates and Contacts while mobile. After a call initiated through the app, JobTetris Go can prompt the recruiter to record notes against the relevant profile.
This helps reduce the need to remember conversations and manually update the CRM when returning to the office.

Yes.
Recruiters can access Companies, Contacts, Deals, Notes and call lists through JobTetris Go, making it useful for business development activity when away from a desktop.
For example, a recruiter can work through a client call list, access the relevant Contact and Company information, make the call and record notes from the conversation.

JobTetris Compared with Other Recruitment Software

A traditional ATS often concentrates primarily on active Jobs and applicants.
JobTetris combines ATS functionality with CRM, business development, Deals, relationship management, AI, search, scheduling, references, document signing, marketing automation, communication and other recruitment operations.
This allows the system to support activity before a Job exists as well as the recruitment process after a Job is created.

JobTetris does not require recruiters to maintain a CRM separately from their Applicant Tracking System.
Companies, Contacts, Candidates, Deals, Jobs, Tasks and recruitment activities operate within the same connected platform.

Not necessarily, and that is not the objective.
JobTetris builds functionality directly into the platform where having it connected to the recruitment workflow provides value. Where specialist providers offer a better solution, JobTetris can use integrations instead.
The objective is to reduce unnecessary fragmentation without preventing agencies from using specialist technology.

JobTetris combines AI with a structured recruitment CRM rather than treating AI as a replacement for the underlying data model.
AI can help recruiters search, screen, summarise and understand information, while core records such as Candidates, Contacts, Companies, Deals and Jobs remain structured and connected.

Recruitment business development often starts well before a client provides an active vacancy.
By separating Deals from Jobs, JobTetris allows recruiters to manage prospects, commercial opportunities, conversations and pipeline activity without creating artificial Jobs simply to track business development.
When an opportunity becomes a genuine recruitment assignment, a Job can then be created from the Deal.

Yes.
JobTetris can manage the commercial pipeline that creates recruitment work as well as the Jobs, Candidates and activities involved in delivering that work.
This allows agencies to manage the journey from prospect to placement within one connected platform.

JobTetris brings together functionality that recruitment businesses have traditionally spread across multiple systems.
Depending on the organisation’s requirements, this can include ATS, CRM, business development pipelines, Candidate search, AI, email, SMS integrations, scheduling, meeting transcription, digital references, document signing, client and Candidate portals, marketing automation, reporting, invoicing integrations, mobile access and LinkedIn workflows.
The aim is not simply to add more features. It is to connect those functions around the same recruitment data and workflow.
